Executive Assistant

Ideally based close to Nottingham for in-person aspects of the role

Salary up to £30,000 per annum

About this role

We have a new and exciting opportunity for an Executive Assistant to join the team! We’re looking for an EA to support our CEO and the wider leadership team, assist with the smooth running of day-to-day schedules, and provide proactive, consistent support across a range of duties. We’re looking for someone who is highly organised and can also oversee internal communications, arrange company-wide meetings, and ensure our Nottingham HQ is a pleasant and welcoming place for our staff.

This will be a varied and busy role, in which you’ll be our CEO’s go-to for organisation and administration, but also support the wider team. We’re looking for someone with a ‘can-do’ and proactive attitude who is keen to take on challenges and new responsibilities, giving the capacity to drive the continued growth of the company. 

Who we’re hiring

This role requires someone who can fulfil the majority of the criteria listed below. However, we don’t expect you to match everything – it’s more important that you have a passion for your work and continuous improvement that will enable you to continue growing with us as we grow at JH.

The main responsibilities of the role will include:

  • Proactive diary and email management for the leadership team
  • Managing both personal and business-related meetings and appointments for the CEO
  • Setting up and leading the organisation of all-hands meetings
  • Booking venues and arranging catering for internal and external meetings, where required
  • Managing our JH HQ in Nottingham, and making sure it’s an enjoyable space to work from
  • Supporting with HR administration including updating employment contracts
  • Supporting with our team social schedule and constantly evolving it in line with the team’s needs
  • Arranging and purchasing thoughtful gifts and treats for our team members and clients, to celebrate birthdays, work anniversaries, and other milestones
  • Answering the phone, dealing with enquiries and taking messages
  • General administration such as updating our CRM, document and paperwork management, collating reports and assisting with presentation decks
  • Assisting with the CEO’s personal social media management
  • Conducting research as requested – for sales enquiries, industry news, business changes, etc.
  • Helping manage client and business relationships
  • Arranging travel and accommodation where required

What we’re looking for

What we need from you:

  • Previous experience of working as an EA or office administrator at a senior level
  • Strong written and verbal communication skills
  • Great self-motivation, enthusiasm and energy
  • To be a brilliant note-taker and spreadsheet savvy
  • Ability to manage multiple tasks simultaneously
  • Excellent organisational skills and time management skills, and to be intrinsically able to assess priorities (and reshuffle when needed) 

It’d be great if you also had:

  • Experience using G Suite and/or Slack on a day-to-day basis
  • Previous experience working in hospitality or customer services
  • Previous experience of working with a sales team

Working flexibly & remotely at JH

We’re open to both remote and hybrid ways of working and had been working remote-first long before the COVID pandemic, while still offering our Nottingham office – with safety measures in place – for people that wish to use it. We’ve transitioned well because we’ve worked from home and employed remote staff for a number of years. We already had the processes, technology, and mindsets that are helpful, and have several initiatives that support the continuation of positive communication, culture, and wellbeing.

For this position, we’re looking for someone who is happy to work remotely, with a requirement to travel to our Nottingham office on a regular basis in order to fulfil certain role responsibilities.
